Booking Terms and Conditions
Reservations & Deposit
Provisional bookings will be held for a period of 14 days (2 weeks). In order to confirm a reservation African Sunset requires a 25% non-refundable deposit immediately and the balance of payment is required 45 day’s prior to arrival. A booking made within 45 days of commencement in payable in full on confirmation. On confirmation of your booking, all guests are required to complete the reservations form provided and send it to our office.
Cancellation
Cancellation outside 45 days will result in a loss of deposit.
Cancellation at 45 days or less will incur a cancellation fee of the following schedule:
Cancelations will be subject to the following penalties :
46 Days or more prior to commencement : forfeit 25% deposit
45 –31 Days prior to commencement : forfeit 50% of the package price
30 – 15 Days prior to commencement : forfeit 75% of the package price
14 Days of less prior to commencement : forfeit 100% of the package price
Please ensure that you are provided with sufficient cancellation and curtailment insurance.
All cancellations should be made in writing and will only be deemed effective upon acknowledge receipt by African Sunset.
African Sunset reserves the right to cancel all services booked by African Sunset should full payment not be received prior to arrival.
For short leadtime bookings, African Sunset would allow for 5 days from time of confirmation until payment reaches us before African Sunset would cancel any services booked.
Method of Payment
Payments are processed with Visa and Mastercard. Payments can also be paid directly into African Sunset´s account.
All payment must be made in full and free of any bank charges.
Travel Insurance
All guests are strongly advised to take out comprehensive travel insurance covering them for personal effects, personal accident, medical and emergency travel expenses, cancellation and curtailment as the booking will be subject to cancellation penalties as detailed above. Some Lodges and Safaris automatically cover for all expenses relating to emergency evacuation expenses in the event of an accident or illness at any location.

- Clients over the age of 75 years are not automatically covered by the above
insurance. - There are certain medical exclusions, if required please contact us for further
details.
Visas and Passports
It is important that you thoroughly check your visa requirements before your intended date of travel, as African Sunset cannot be held responsible should necessary visa requirements not be fulfilled. All visitors to South Africa are required by law to have a minimum of two blank pages in their passport to enable the entry visa to be issued. If there is insufficient space in the passport, entry will be denied and the person is likely to be detained pending return to their country of origin. Please check with your local Foreign Department or ask us for advice where to get the necessary information.
Air tickets
In order to comply with international insurance requirements all airline tickets must clearly show the passenger’s title, name and surname (as indicated in their passport). As this applies to both scheduled and charter flights we would be grateful if you could provide us with this information at the time of your reservation.
The air fare and airport tax quoted are current and are subject to change without prior warning should the airline impose an increase in rates for any reason. Should the fare quoted not be available at the time of booking the next applicable fare will be booked and amended costs advised accordingly. Please note that fares may increase between time of booking, time of payment and the ticket being issued.
African Sunset cannot be held responsible should airlines discontinue flights on
certain routings or change scheduled timetables resulting in missed connections. Should an amendment in routing or itinerary be necessary, any additional costs incurred will not be borne by African Sunset.
General
1. Malaria
It is important that you take precautions against malaria prior to the
commencement of your holiday where applicable. We recommend that you
contact your doctor, pharmacist or travel advisory clinic for advice on the
Malaria areas and as to which prophylactic is recommended.
2. Yellow fever
Although it may not be required at time of entry, Yellow fever vaccinations are
a legal requirement for entry into Kenia, Tanzania, Zanzibar and partly
Zambia. Please note however, that your guests' country of origin may also
require this certificate upon their re-entry. Please confirm with a travel clinic
prior to travel.
3. Dietary requirements
Any special dietary requirements must be advised at time of booking or well in
advance of check-in. We will do our utmost to comply with your requirements.
4. Luggage Restrictions
Space is limited on a mobile & fly-in safaris. Consequently, each guests is
allowed 12 - 20kg of luggage in a soft, compact carrier bag, partly incl. small
day bag and limited camera equipment. The personal weight limit for charter
flights is 110kg. Any expenses incurred as a result of excess lugguage or
personal weight will be for the guests own account i.e. additional charter flight.

5. Schedules & Itineraries
Although all African Sunset partners make every effort to adhere to schedules
and itineraries, these are subject to change in light of changing local conditions
(e.g. weather, game movement…) and availability. You will be notified of any
changes prior to departure where possible.
6. Single Supplements
We do not wish to penalise individuals travelling solo but local partners charge
a single supplement due to limited capacities on safaris.
7. Preferred clothing on safari
We recommend light cotton shirts and trousers / shorts. The best colours are
khaki, beige and white. Light cotton, long sleeved clothing is recommended for
game drives. Evenings can be cool/cold on game drives and some form of
jersey or windbreaker is recommended even during the summer months
8. Gratuities
Tipping is at your discretion. The lodge manager or guides will be able to
assist with guidelines.
